We have over 80 years of experience serving families of all faiths and backgrounds, and we have received the Consumer Choice Award for service excellence for 14 years in a row. We are looking for a part-time Administrative Assistant to join our Edmonton office team on weekends and weekdays. The shifts for this position would include a mix of weekends and weekday shifts depending on operational needs. The incumbent will be responsible for answering phones, greeting families and visitors, and maintaining files. The Administrative Assistant will maintain professionalism, demonstrate extraordinary customer service, and be responsible for a variety of administrative duties that aid in the day-to-day operations of Park Memorial.
Responsibilities:
• Act as a point of contact for the Edmonton office during your shifts.
• Greet and direct families and visitors attending services.
• Receive incoming telephone calls; record, direct, and deliver accurate messages.
• Monitor emails, respond, and forward as needed.
• Answer ‘first calls’ (families calling to inform us of a death).
• Maintain and update client files within Park Memorial’s computer program.
• Draft and proof obituaries, and submit to relevant media within deadlines.
• Manage Park Memorial’s website (uploading obituaries and photos).
Education/ Experience:
• 1 – 2 years of Administrative experience in an office setting.
• Diploma in office administration from an accredited university or technical institute (NAIT, SAIT, or equivalent) or equivalent professional experience.
• Clear communication skills and superior attention to detail.
• Proficient with Microsoft Office including MS Outlook, Word, Excel, and PowerPoint.
• Clear background check.

The Administrative Support will be responsible for providing high quality, professional administrative service to support the management team. This includes meeting coordination, file/record management, donation asks, assisting with advertising, ordering uniforms, creating reports, and assisting with billing/invoicing process. They will be supporting the leadership team in the planning and execution of activities related to the company’s business plan, marketing objectives, accounting, and business development. Additionally, the Administrative Support will interact with grieving families to answer questions, assist with the invoicing process, and provide support resources to families.
Responsibilities:
- General/Office Administration
• Monitor various email inboxes.
• Receive and transfer incoming phone calls.
• Record, deliver, and direct messages as needed.
• Maintain supplies (ex. stickers, decals, update plaque in lobby) and documents.
• Conduct various administrative duties as needed (mail, write letters and cards, source/restock office supplies, prepare documents, subscription renewals, etc.).
• Greet and assist families or visitors who arrive for appointments, arrangements, visitations, and services.
• Answer and respond to family/community/staff inquiries and concerns.
• Follow-up with management or relevant staff on family concerns.
• Receive, review, and file service evaluations.
• Maintain grief resources and provide grief resource information to families.
• Delegate tasks and errands to staff.
• Assist the President with tasks as assigned (ex. Taking notes, assisting with daily calendar, making reservations/bookings, placing orders, errands, research and reporting, attend events, etc.).
• Assist with general organization and presentability of offices.
• Maintenance and facilitation of advertising, donations, and sponsorships.
• Draft various monthly reports.
• Interact and network with PM staff and community members.
• Assist with planning and organizing of internal and external company events.
• Distribute schedule to staff daily.
• Maintain records (Advertising, Accounting, Events, Services, etc.).
• Facilitate advertising and assist with proofing.
• Mail condolences and laminated obituaries to families.
Accounting
• Ensure compliance with all Accounting department policies and procedures.
• Prepare invoices that include all relevant and accurate information for families.
• Process payments on amounts owing, write receipts, and update invoices thereafter.
• Enter invoicing details in the accounting system or filing system to ensure records are updated.
• Distribution of Paper Schedules.
- HR
• Ensure all staff have uniforms and accessories, maintain records of supplies accordingly.
• Monitor dry-cleaning/slips and follow-up with dry-cleaners if concerns/issues arise.
• Draft and distribute announcements/communications for all staff.
• Create and post Special Dates (birthdays, anniversaries, kudos, etc.) calendar in the lunchroom.
• Promote and facilitate perks for staff (event ticket draws, ordering flowers/food, gift cards, birthday meals and gifts, staff contests, etc.)
- Education/ Experience:
• 3 – 5 years of Administrative experience in an office setting.
• Experience associated with invoicing and processing payments would be considered an asset.
• Diploma in office administration from an accredited university or technical institute (NAIT, SAIT, or equivalent) or equivalent professional experience.
• Clear communication skills and a superior attention to detail.
• Proficient with Microsoft Office including MS Outlook, Word, Excel, and PowerPoint.
• Possess a valid Class 5 driver’s license.

Qualifications:
• Highschool diploma.
• Previous experience in a customer service-oriented role.
• Experience in the funeral profession is considered an asset, but not required.
• Valid driver’s license with a full, non-GDL level license, and a clear drivers abstract.

Park Memorial is a family owned and operated full-service funeral home with locations throughout Northern Alberta. We are looking to hire a Funeral Director to oversee three of our rural locations (Vegreville, Lamont, and Smoky Lake) that are all close in proximity. The Funeral Director will be responsible for the overall management of service delivery including arrangements, disposition, ceremony, and after care, with strong assistance from the Edmonton team. By providing compassionate guidance and expert assistance, they help create meaningful and respectful farewell ceremonies.
